This guide is for customer administrators responsible for account setup, user access, onboarding coordination, and organisation-level operational control in Xpitro.

Administrator Responsibilities

Customer administrators typically manage:

  • organisation access and onboarding;
  • user invitations and role assignment;
  • commercial or account visibility through the customer portal;
  • coordination with Xpitro support or onboarding teams;
  • internal rollout and adoption.

Initial Setup Checklist

During initial setup, administrators should:

  1. confirm the correct organisation details;
  2. verify the primary administrator account;
  3. invite the first users;
  4. confirm role and access assignment;
  5. verify the initial operating scope or first programme setup;
  6. confirm the team understands where to find support, legal, and security resources.

Access And Roles

Administrators should:

  • invite only the users who need access;
  • assign roles based on responsibility;
  • review access regularly;
  • remove or update access when responsibilities change.

If you need capabilities you cannot see, your plan, role, or organisation configuration may not currently allow them.

Customer Portal Responsibilities

Depending on the current implementation and your entitlement level, the customer portal may be used to:

  • review account and subscription context;
  • review plan or billing information;
  • access legal and support resources;
  • understand current customer lifecycle or onboarding status.

Onboarding Oversight

Administrators should keep track of:

  • whether the organisation setup is complete;
  • whether the right users have accepted invitations;
  • whether the first workflows and evidence areas are in use;
  • whether the team needs assisted onboarding or support.

Security Expectations

Administrators should encourage:

  • strong credential hygiene;
  • MFA where available and required;
  • least-privilege access;
  • careful handling of uploaded documents and customer data;
  • prompt reporting of suspected access or security issues.

Working With Support

When contacting Xpitro support, be ready to provide:

  • organisation name;
  • affected feature or workflow;
  • screenshots or error messages where appropriate;
  • the business impact of the issue;
  • whether the issue affects one user or many users.
